12-Month Wedding Timeline: Month-by-Month
A practical month-by-month wedding planning timeline for Indian weddings — what to book, confirm and pay at each stage from 12 months out to the final week.
The fastest way to keep a wedding calm is to give every month one job. This timeline works for a 9–12 month engagement; if you have less time, compress by booking venue and key vendors in the first four weeks — everything else can move faster.
Pair this with the wedding budget checklist so each milestone has a payment attached.
12–10 months out: foundations
- Agree total budget, contributing families and a single approver
- Fix guest count and list your functions (mehndi, sangeet, haldi, ceremony, reception)
- Shortlist cities and visit 3–5 venues; hold dates before deciding
- Book venue, then in-house or external catering within four weeks
- Check auspicious dates and confirm them against venue availability
9–7 months out: the big bookings
- Lock photography and videography team (ask for a full wedding album, not highlights)
- Sign décor partner with a mood board and revision round in writing
- Book music: DJ, dhol, sangeet performers or live band
- Begin outfit shopping with two fitting rounds planned
- Send save-the-dates; open a shared budget tracker
Venue decision support: how to choose an event venue.
6–4 months out: design and confirmations
- Finalise décor theme, mandap/stage design and colour palette
- Book makeup artist with trial, mehndi artist and priest
- Order invitations (or finalise digital designs)
- Arrange guest transport, outstation stays and welcome hampers
- Plan sangeet and mehndi: playlists, games, performances, rehearsals
3 months out: invitations and details
- Send invitations; begin weekly RSVP tracking
- Menu tasting and final menu sign-off with the caterer
- Book dessert, cake and any live counters
- Confirm hotel room blocks and airport pickups for outstation guests
- Trial looks for both partners, including jewellery and footwear
1 month out: freeze and rehearse
- Freeze headcount bands with the caterer (confirm +10% buffer)
- Finalise seating chart with family leads on both sides
- Draft the run-sheet: timings, owners, vendor contact numbers
- Collect outfits after final fittings; pack an emergency kit
- Confirm every vendor in writing with arrival times and load-in access
Final week
- Share the run-sheet with all vendors, family leads and the venue
- Pay scheduled instalments; carry cash for on-the-day charges
- Rehearse pheras, entry choreography or stage moments once
- Charge every device, pack safety pins, stain remover and medicines
- Designate one point person per function so the couple manages nothing
Day after
Return rentals, settle vendor balances, thank vendors publicly, and hand media teams a clear deadline for teasers and albums. Then take a week off before reviewing the final actual-vs-budget report — it is the most useful document you will ever reuse for corporate events or family functions.
