Concerts planning
Gigs, club nights and stadium shows
Concerts are production-heavy events where the artist fee is only half the story. Stage, sound, lights, security, permissions and ticketing decide whether the night feels professional — or fragile.
Work backwards from the artist: confirm the fee and rider first, then choose a venue that can handle the production load, then build the technical rider and run-sheet around them. Permissions for late-night sound and alcohol take longer than expected — start those in week one.
The checklist below covers a typical 300–3,000 capacity show in an Indian city.
The checklist
What to do, in order
Secure the show
- Artist confirmed with signed contract, fee split and technical rider
- Venue that fits capacity, load-in, power and noise constraints
- Police NOC, entertainment licence and sound-permission timeline
- Public liability insurance and security plan approved by venue
Build the production
- Line array sound sized to the room; engineer for FOH and monitors
- Lighting rig and backline as per rider — with two backups
- Stage manager, changeover plan and artist hospitality
- Backup power for production and box office
Sell and run it
- Tiered pricing: early bird, phase 2, gate — with clear inclusions
- Entry: wristbands, scanners, box office and refund policy
- Crowd plan: barriers, mosh buffer, medical team, evacuation route
- Show-day run-sheet from gates open to load-out
Budget split
Where the money goes
| Line item | Typical range | Share | Note |
|---|---|---|---|
| Artist fee | ₹1L – ₹50L+ | 30–50% | Includes travel and stay per rider |
| Venue & production | ₹1L – ₹30L | 20–30% | Sound, lights, stage, crew, power |
| Permissions & security | ₹50k – ₹8L | 8–12% | NOCs, bouncers, medical, insurance |
| Marketing & ticketing | ₹50k – ₹10L | 8–12% | Ads, influencer seeding, platform fees |
| Hospitality & logistics | ₹30k – ₹5L | 5–8% | Green room, crew meals, transport |
| Contingency | 10% of total | 10% | Weather, refunds, extra load-in hours |
Indicative ranges for an independent show. Ticket sales are the primary recovery mechanism — model break-even attendance before contracting the artist.

Concerts planning — FAQs
- Which permissions does a concert need in India?
- Typically: venue fire and safety NOC, police permission for the gathering, local municipal entertainment licence, noise/sound compliance for amplified music after cutoff hours, and alcohol licence if serving. Timelines vary by city — file 8–12 weeks ahead.
- How do we price concert tickets?
- Model from break-even: total cost ÷ expected paid attendance, then set early-bird below it and phase prices above it. Keep at least 30% of inventory for the final phase, and make every phase’s inclusions explicit to avoid refund disputes.
- What sound system do we need for 1,000 people?
- A properly tuned line array sized by your production vendor, front-of-house and monitor engineers, and delay towers for venues deeper than 40 metres. Ask for the vendor’s recent show references and insist on a site sound-check plan.
- Indoor or outdoor venue?
- Indoor gives you power, weather safety and simpler permissions; outdoor gives scale and atmosphere but needs staging, tenting and a monsoon plan. For a first show, pick indoor — fewer variables that can end the night early.
